The Problem
- Existing off the shelf timekeeping programs not reliable
- Need ability to enter and track each staff member's time offsite
- Wanted to avoid importing/exporting of individual staff time data because it's a management PITA, and causes delay
- Wanted more granular features for services codes than Qbooks has
- Wanted to integrate with Intuit's QuickBooks timesheets for creating invoices
- Wanted to have audit and edit ability by manager before data reaches accounting system
- Wanted ability for manager to see everyone's time data remotely (when not at office)
- Wanted to integrate with Workflow systems in office
- Wanted simple, elegant, very friendly user interface.
The Challenges
The primary business challenge in any Timesheets application is getting users to dedicate time and energy to keeping track of their time. iDonovan helped solve this problem in two ways. First, by making the application so easy to use, that tracking time is no longer onerous. Second, we included an automatic timing mechanism within the application that allows users to let the program itself keep track of their time.
The primary technical challenge was to enable the application to integrate with QuickBooks. We have designed an approach that enables an administrator to export the timesheets into a text file that can be imported into QuickBooks.
The Solution
iDonovan can deliver a timesheet solution that solves most of the timekeeping needs of a small to medium size business. The Timesheets system integrates the client, project, service code, employee and account lists from Quick books to keep the codes used in timekeeping synchronized with the accounting department. It provides and extremely easy to use and fast user interface that is used both internally at the office, and when on site at a client office through the web. Same great user interface no matter where in the world you are. It has improved the timeliness of timekeeping data from employees being weeks late at the end of the month to encouraging daily updates of the data. It is rare that staff is more than a few days behind in their data tracking of time, and are usually up to date to the hour! The program really encourages itself to be used as easy to use time accounting software.
